Plant Services Office Manager

Position Title: Office Manager, Plant Services
Reports to: Director of Plant Services
Classification: Part-Time Hourly (29 hours/week; no benefits)
Required Experience: Associate Degree (Bachelor’s degree preferred) and two years of related work experience

Job Summary

The candidate will be responsible for handling clerical tasks in the office (incoming phone calls and other communications, managing department tasks and deadlines, files, and performing other general office clerical duties and errands).

Essential Duties and Responsibilities

  • Tracking of work elements (tasks, inventory, orders/deliveries, customers, etc.)
  • Keeping an inventory of supplies and ordering new materials as needed
  • Managing supplier and customer relationships
  • Finding new suppliers and cultivating relationships
  • Overseeing clerical tasks, such as sorting and sending mail
  • Directing department personnel to highest-priority tasks
  • Maintaining files
  • Facilitating all department communication: phone, visitors, and e-mail
  • Training new employees
  • Ensuring the office runs smoothly
  • Scheduling meetings and sending meeting invites to attendees
  • Recording information as needed
  • Updating paperwork, maintaining documents, and word processing
  • Helping organize and maintain facilities
  • Other duties may be assigned
