Executive Assistant for Advancement

The Administrative Assistant assists the Directors of Alumni and Church Relations, as well as the general Advancement office. It is a 30 hours per week position with the possibility of increasing up to 10 additional hours.

Position Description

  • General Advancement Office Duties
    • Answer phone and greet visitors as they come into the office.
    • Assist with Advancement events and initiatives as needed, including registrations.
    • Assist primary office staff with gift processing as needed.
    • Serve multiple roles as needed at Senior Saints in the Smokies.
  • Alumni Relations Office
    • Assist Director in maintaining and prioritizing portfolio relationships.
    • Assist Director in making appointments and reminders and answering incoming calls and questions. Facilitate travel plans. Complete monthly credit card report.
    • Attend & take notes in AR-related meetings.
    • Assist the Director in coordinating and serving as liaison for Homecoming activities & correspondence related to schedule, main sessions & leaders, workshop leaders, children’s ministries, class reunions, food services, meal tickets, housing for guests, program booklet, and campus notifications.
    • Coordinate the annual alumni/senior dinner.
    • Assist with the logistical planning of regional alumni gatherings.
    • Coordinate mailings to alumni for the Alumni Association. Receive & enter alumni dues into Raiser’s Edge. Maintain e-mail lists & coordinate mass e-mailing to alumni.
    • Oversee yearly graduate survey (spring) and yearly family info sheet (fall).
    • Help develop & maintain the budget, assign codes to invoices, and request funds.
    • Participate in proofreading Johnson Magazine and other office products; make updates & changes to copy. Distribute the magazine to various offices & maintain the Access Index.
      • Assist in editing and writing when necessary
    • Coordinate social media for JU Alumni and Alva Ross Brown Society pages.
    • Aid & assist in coordination of various campus events, as needed.
  • Church Relations Office Duties
    • DAILY
      • Research and run gift report for changes in giving patterns.
      • Maintain and update church records on the RE database.
      • Coordinate mailings for events and annual reporting to churches.
      • Attend & take notes in Church Relations-related meetings.
      • Coordinate support for church leadership-focused events.
    • WEEKLY
      • Assist Director in maintaining and prioritizing portfolio relationships.
      • Assist with travel plans for the Director of Church Relations.
        • Maintain travel displays and materials
      • MONTHLY
        • Coordinate social media for JUTN Church Relations pages.
        • Organize travel receipts and complete monthly credit card report.
        • Create & review lapsed donor church reports.
      • QUARTERLY
        • Maintain email lists and quarterly mass emails to church leaders.
      • ANNUALLY
        • Help gather and compile information for the Annual Report to churches.
        • Create fiscal year & calendar year reports for trustees (Sept. & Feb.).
        • Facilitate delivery of displays and materials to support JU representatives.
      • Other duties as assigned by supervisors, office manager, and/or the VP of Advancement.

Knowledge and Skill Requirements

  • Microsoft Products.
    • Outlook, Word, Excel.
  • The Raiser’s Edge and RENXT—will require ongoing training.
  • Hootsuite—social media platform that incorporates Instagram, Facebook, and Twitter.
  • Welcoming and hospitable attitude toward visitors, alumni, and friends of the school.
    • Able to communicate formally & informally (in person and by phone).
    • Able to get along with others and be a team player.
    • Able to multi-task; handle several projects at one time.
  • Writing and editing skills.

Working Conditions

  • This position is primarily sedentary, working at a desk in a climate-controlled office.
  • Prolonged computer work with keyboard & mouse usage.
  • Flexibility/overtime hours during events, with some minor lifting, etc.
  • Open office with frequent interruptions.

Qualifications

  • High school education minimum, college education preferable.
  • 2-3 years’ experience in Microsoft Word applications.
  • Able to keep confidences.
  • Spirit of service and cooperation with others.
