Administrative Assistant, School of Arts and Humanities
The School of Arts and Humanities at Johnson University is currently inviting applications for a part-time Administrative Assistant position (20 hours per week). Our school houses diverse programs, including English, History, Media Arts, Music Technology, Theater, and Visual Media Production and Design. While each program is unique, they all share a commitment to exploring how narrative and creative expression shape students for God’s work in the world.

Job Summary
The Administrative Assistant for the School of Arts and Humanities assists with scheduling, contracts for adjunct faculty, PO requests for faculty, budgeting, and other administrative needs as required for the daily operations of the school.
Duties and Responsibilities
- Assist with PO requests for faculty purchasing needs.
- Prepare/send adjunct contracts and coordinate onboarding paperwork for new hires.
- Compile and prepare data/reports for the School of Arts and Humanities database, Sakai, and Jenzebar.
- Attend and record minutes for all School of Arts and Humanities meetings.
- Assist with scheduling classes each semester for faculty and adjuncts in the School of Arts and Humanities.
- Assist with preparation of annual budget worksheets for the School of Arts and Humanities.
- Assists in securing materials to meet the needs of faculty and students.
- Track program layouts, transcripts evaluations, graduation evaluation.
- Assist with acquiring and maintaining equipment located in the workroom.
- Maintain the school calendar for events, meetings, and travel.
- Maintain supplies and purchases for the workroom(s) and the offices.
- Work with the Event Coordinator and Pioneer Food Services for any School of Arts and Humanities events.
- Maintain student files, both hardcopy and electronic.
- Assist with updating campus catalog as needed.
- Perform general clerical duties including but not limited to: photocopying, mailing, and filing.
- Coordinate incoming & outgoing mail.
- Other tasks as assigned by the Dean.
Working Conditions
- Working conditions are normal for an office environment.
- Flexible hours.
- Ability to walk between campus buildings and occasionally get on and off floor for shelving, technology support, filing, or storage.
Qualifications
- Bachelor’s degree from a regionally accredited institution (required).
- Administrative experience strongly preferred, with experience in higher education considered a plus.
- Exceptional interpersonal, oral, and written communication skills. Must be able to effectively interact with university personnel, students, and the public face-to-face and over the telephone.
- Must possess a high level of accuracy, self-motivation, and attention to detail.
- Excellent organizational skills with the ability to prioritize multiple tasks simultaneously.
- Must be a creative problem solver with the ability to define problems, collect the necessary data, and draw valid conclusions to make decisions independently.
- Average to above average typing skills.
- Proficient in Microsoft Office and the ability to learn other office technology, software, and skills as needed.
- Familiarity with office environment practices, policies, and procedures.
