Job Description

The Executive Assistant/Assistant Director of Church and Alumni Relations supports the Directors of Alumni and Church Relations and helps in their efforts to lead alumni and church leaders in experiencing the joy of investing their lives and resources in extending the kingdom of God. Further, the EA/AD serves as a liaison to the University campus.

Primary Duties and Responsibilities

  • Alumni Relations Office
    • Assistant Director:
      • Develop strategies to engage alumni.
      • Grow into portfolio/moves management role.
    • Executive Assistant:
      • Assist Director in maintaining and prioritizing portfolio relationships.
      • Facilitate travel plans for Director.
      • Help develop & maintain the budget, assign codes to invoices, and request funds.
      • Assist Director in all aspects of planning and implementing Homecoming.
      • Assist Director in planning and implementing all Alumni Gatherings.
      • Participate in proofreading Johnson Magazine and other office products; make updates & changes to copy. Distribute the magazine to various offices & maintain the Access Index.
      • Assist in coordination of various campus events, as needed.
      • Coordinate social media for JU Alumni and Alva Ross Brown Society.
      • Oversee yearly graduate survey (spring) and yearly family info sheet (fall).
  • Church Relations Office
    • Assistant Director:
      • Develop strategies to engage female church and ministry leaders.
      • Grow into portfolio/moves management role.
    • Executive Assistant:
      • Assist with Regional Representatives Management (shared with Alumni Relations).
      • Assist with Vanguard Church Partners Management.
      • Assist with Preaching Teams Management.
      • Assist with Church Leadership Conference planning and implementation.
      • Assist with fall church fair planning and implementation.
      • Assist with conventions and conferences.

Knowledge and Skills Requirements

  • Microsoft products: Outlook, Word, Excel.
  • The Raiser’s Edge and RENXT – will require ongoing training.
  • Hootsuite
  • Welcoming and hospitable attitude toward visitors, alumni, and friends of the school.
    • Able to communicate formally and informally (in person and by phone).
    • Able to get along with others and be a team player.
    • Able to multi-task; handle several projects at one time.
  • Writing and editing skills

Working Conditions

  • This position is primarily sedentary, working at a desk in a climate-controlled office.
  • Prolonged computer work with keyboard and mouse usage.
  • Flexibility/overtime hours during events, with some minor lifting, etc.
  • Open office with frequent interruptions.

Qualifications

  • High school education minimum, college education preferable.
  • 2-3 years experience in Microsoft Word applications.
  • 2-3 years experience in office setting desired.
  • Able to keep confidences.
  • Spirit of service and cooperation with others.
